About Us

Our Client helps employers make hiring from out-of-market talent easy. We partner with leading healthcare organizations and high-growth companies to remove relocation barriers and streamline the hiring experience.

We’re a small, lean team where marketing is tightly aligned to sales. Field marketing at Our Client exists to support revenue, not to plan standalone events. This role plays a critical part in ensuring our sales team shows up to conferences prepared, organized, and set up to convert conversations into pipeline.

The Role

We’re seeking a part-time Field Marketing Specialist (approximately 15–20 hours per week, flexible schedule) to support our conference and trade show execution. This is not an event planner role. The primary focus is trade shows and sales enablement, with a heavy emphasis on logistics, preparation, and follow-through.

You’ll be responsible for the operational work that makes conferences successful. That includes managing booth logistics, swag inventory, shipping, lead tracking, and post-show reporting. This role lives in the details and requires someone who enjoys being in the weeds, building systems, and making sure nothing falls through the cracks.

If you enjoy checklists, timelines, organizing physical materials, and working within lean budgets and teams, this role will be a great fit. If you’re looking for creative event design or experiential marketing, this likely isn’t it.

Location Requirements

This role is remote, but candidates must be based in or near Chicago with the ability to travel to our office (in the Loop) several times per month as needed to support trade show logistics, inventory management, and shipping.

What You’ll Do

  • Own the execution of conference and trade show logistics from start to finish, with a strong focus on sales readiness.
  • Prepare and manage booth kits, including signage, collateral, swag, supplies, and shipping materials.
  • Coordinate shipping and delivery for trade shows, ensuring booths and materials arrive on time and in good condition.
  • Manage swag logistics end-to-end. Source items within budget, place orders, track inventory, and restock as needed.
  • Work with vendors on printing, swag production, shipping, and fulfillment, keeping costs controlled and timelines tight.
  • Maintain detailed inventories, checklists, and timelines for each conference.
  • Pack, ship, receive, and store booth kits and materials between events.
  • Upload, organize, and manage conference leads in the CRM following each show.
  • Track conference costs, lead volume, and outcomes to support ROI reporting.
  • Maintain clean, accurate lists related to events, leads, and follow-up status.
  • Partner with marketing and sales to ensure post-conference follow-up is timely and well-organized.
  • Continuously improve processes so trade show execution becomes more efficient and repeatable over time.

What We’re Looking For

  • Prior experience supporting trade shows or field marketing efforts.
  • Experience working in lean marketing teams with small or tightly managed budgets.
  • Strong organizational and operational skills. You plan ahead, build systems, and sweat the details.
  • Comfortable handling logistics, shipping, inventory, and physical marketing materials.
  • Experience working with vendors and coordinating orders and deliveries.
  • Comfortable working with spreadsheets, lists, and tracking tools.
  • Understanding of how conferences support sales and pipeline generation.
  • CRM experience is a plus. HubSpot experience preferred but not required.
  • Reliable, detail-oriented, and proactive. You flag issues early and follow through.
  • Able to work independently once priorities and expectations are clear.

The Details

  • Part-time role, approximately 20 hours per week. Potential full time expansion
  • Flexible hours - must be able to work between 8am and 5 pm CT
  • Remote, with required in-person availability in Chicago as needed for trade show execution and logistics.
  • Hands-on exposure to B2B field marketing, sales enablement, and conference ROI tracking.
